ourtasksnomatterwhichdeviceyou’reusing.Things3(Mac/iPad/iPhone):thoughpreviousversionsofThingsreceivedveryfewupdates,version3hasreceived13pointupdatestothetimeofwritingandcontinuestobethemostaestheticallypleasingtaskmanagementappforAppleusers.RecentadditionssuchasfullkeyboardsupportontheiPad,beautifulWidgetsontheiPhone,andintuitiveuseofiPadOS14’snewScribblefeaturehaveThings3firingonallcylindersoniPhoneandiPad.Todoist(Mac/iOS):thefirsttrulycross-platformserviceincluded,Todoistisaverysolid—andverypopular—option.Althoughitstartedasaweb-basedserviceandisnotfocusedsolelyonAppleusers,itsfeaturesetanddesignhaveimproveddramaticallyoverthelastfewyears.NaturallanguageparsingandadvancedcalendarsupportinparticularhaveTodoistpushingthelongstandingwinnerstonewheights.2Do(Mac/iOS):anotherverysolidandenjoyableoptionthatisonlyforAppleusers.Unlikeotherproducts,2Doisdevelopedandsupportedbyaverysmallteam.However,itsportsapleasinginterfaceandoffersasweetspotforcustomizationwithoutbeingtoofiddly.2DohasstruggledthelastfewyearstokeepuptodatewiththelatestmacOS,iOS,andiPadOSfeatures,butitisahighlyratedappontheAppStorethatdeservestesting.TickTick(Mac/iOS):TickTickhascroppeduponourradaroverthelastfewyearsthankstosomeveryhighpraisefromfolkslikeMarquesBrownlee,TheVerge,andmore.TickTick’shallmarkfeatureishowwellitworksfortimeblocking—theideaofmouldingyourtasklistandcalendartogetherandblockingtimeeachdaytocompleteeachtask.TickTick’sgreatdesignalsopushittothetopofourradar.MicrosoftToDo(Mac/iOS):Microsoft365userswillbepleasedtoknowtheGTDappincludedwiththenewlybrandedOfficesubscriptionhasimproveddramaticallyovertheyears.Theimprovementsincludeanimprovedaestheticanddesign,greatsync,multi-platformsupport,andtheabilitytocollaborateontaskswithothermembersinyourteam.Thiscollaborationfeatureisn’tentirelyuniquetoMicrosoftToDo,butofficeswhichuseMicrosoftandExchangewillbeexcitedtohavethistypeofsupportincludedinthepackage.Tobesure,thereareplentyofotheroptions.TheproductivitycategoryoftheAppStoreisfull—ridiculouslyso.Thereisalottosiftthrough,andnotallofitishighquality.Therearealsoplentyofweb-basedapplicationsthatmaysuityourneedsbest(seeAsana,Basecamp,Flow,RememberTheMilk,orTrello).Manyofthesearemorefocusedonteamsandlessonpersonalproductivity.We’reoftheopinionthatnativeappsofferthebestexperienceoverall.(Thatsaid,ifoneofthenativeappsoffersawebversion,we’dclassifythatasa“bonus”andnotacaveat.)Youcanalsouseknowledgemanagementandnote-takingappslikeRoamResearchandNotionaskGTDtaskmanagersaswell.Roamhasavarietyoftaskandprojectmanagementfeatures,thoughtheytendtobeabitnerdy.ThepowerofNotioncan’tbeshruggedateither—ifyouwanttocreatetheworld’smostadvancedprojectmanagementsysteminsideNotion,it’slikelyyoucanpullitoff.AsfaraspickingtheverybestGTDappsforiPhone,iPad,andMac,neitherofthesetwooptionstopthelistduetotheirscope.However,we’dberemissnottonotethatyoucanusetheseappsforGTDifyouplease.OurPickforBestProductivityandTask-ManagementAppIsThings3OurchoiceforthebestGTDappforiPhone,iPad,andMacusersremainstobeThings3.TherelaunchofThings3in2017hasresultedincontinued,iterativedevelopmenteversince(suchasadvancedkeyboardsupport,ScribbleandWidgetsiniOS14,etc.),andcontinuestobeoneofthemostpleasingandsatisfyingpiecesofsoftwarewe’veeverused.Whilenotascustomizableassomeoftheotheroptions,Thingsisjustsowell-designedandhitsenoughofourcriteriathatitcomesoutasourtopchoice.However,thisisadifficultchoicetomake.Therearereallynowrongchoiceshere.WhileThingsisourchoiceasthebestoption,youcannotgowrongwithanyofthecontenders.OmniFocusisstillapowerfultoolthatmayfitbetterforthosewithmorecomplexneeds(aka,“powerusers”),orforuserslookingforawebversiontouseonaWindowsPC.AndTodoistisaverysolidoptionthatworkswellwithateam,givesaconsistentexperienceacrossdevices,hasnaturallanguageparsing,andhashadoneofthespeediestratesofdevelopmentinthelastfewyears.Allthattosay,whateveryourpreference,you’llfindasolutionthatfitsforyou,andThings3istheonewe’drecommendformostusersbeforeallothers.Let’slookatwhy.GoodDesignWhileaestheticswerenearthebottomofourlistofcriteria,thelookandfeelofThings3issogoodthatIwanttostartthere.Tobeclear,thedesignofthisappgoesfarbeyondhowitlooks.Thingshasalwaysbeenaprettyapp,butThings3broughtthataspectofbeingpleasingtoanotherlevel.Itstilllooksassharpascanbe,butit’sthefeelthatmakesitstandout.Alotofappsuseanimationstoaddcuestotheirinterface;Thingsmakesitbutterysmooth.Animationsaretricky.Whendoneright,theycanaddcontext,givesubtlehintsaboutwhatispossible,andadddelight.Donewrong,theyscream“gimmick”andcorrodetheuser’strust.CulturedCodenailedthebalancebetweensubtlety,utility,anddelightwiththeinteractionsincludedinthelatestversionofThings.Things3’sdarkmodeisoneofthebestdarkmodesavailable.Youcanselectbetweenadarkmode(whichismoreofanextremelydarkgreymode—verysoothingontheeyesatnight)andatrueblackmode,designedspecificallyfortheOLEDdisplaysonthelatestiPhones.UsuallyIliketrueblackthemes(evenontheiPadPro),butThings’sregulardarkmodeisstunning.Whenwetalkaboutthedesign,weshouldalsoincludethenavigationoftheappitself.AnygoodMacappincludeskeyboardshortcutsthatenabletheusertobemoreefficient.Things3nailskeyboardnavigationonboththeMacandtheiPad.Opentheappandjuststarttyping.Anywhere.RatherthanforceyoutoopentheQuickFindmodal,Thingsstartsdisplayingsearchresultswhenyoutypeanywhereintheappthatisnotaninput.Sure,QuickFindcanbeinvokedwiththestandardCMD+F,butthedesignersofThingsapparentlyaskthequestionofwhethertheusershouldhavetotakethatstep.Whynotjustshowpeoplewhattheyneedimmediately?QuickFindevenhasAreasthataren’tvisibleintherestoftheapp—typing“Repeating”or“Tomorrow”willbringuptwoviewsyoucan’totherwiseclickintointheleftsidebar.It’sthiskindofcarefulconsiderationthatmakestheexperiencewhatitis:apleasure!Therestoftheapplication’snavigationisalsogood.Onehastosearchtofindapieceoffunctionalitythatisnotavailableviathekeyboard.Infact,Things3’skeyboardsupport—especiallyontheiPad—istrailblazing.YoucannavigatetheentireiPadappwiththekeyboard—jumpinginandoutoftasksandtheirnotes,movingbetweenprojects,searchingforspecifictasks,andjumpingbetweenyourInbox,Today,orUpcomingviews.Plus,thesekeyboardshortcutsareuniformacrossbothiPadandtheMac,meaningyoudon’thavetodevelopspecialmusclememoryforeachdeviceyouuse.Onmanyoccasions,I’vebeenleftwishingThings’skeyboardshortcutsupportwouldbecomethedefaultforallotherappsIuseonmyiPad.Whenitcomestodesign,thereisonecharacteristicofThingsthatgotmyattentionmorethananyother.Thatis…ProjectDocumentationWhenIfirstgaveThings3alook,thisisthefeaturethatsoldme.Alongtimeago,ThingswasmyfirsttaskmanagementtoolasanewMacuser,butwiththeslowdevelopmenttimesatCulturedCodeandalackofsyncsupport,ImadeamovetoOmniFocus.Forthebetterpartof5years,InevergaveThingsanyfurtherconsideration.WhenIfirsttriedThings3,somethingclickedforme.Iwroteaboutitinmyinitialreview:InalltheservicesI’veusedovertheyears,therehasbeenagapbetweenmanagingtheactualtasksandtheinformationthatisrequiredtoworkonthosetasks.Therealwaysneededtobeasecondarypieceofsoftwarerequired.ThatmightbeappslikeYojimboorEvernoteorUlysses,oritmightbepartsofthemacOS(files/foldersinFinder).Things3isthefirsttoolthatmademethinktherewasachanceIcouldhandleitallinoneplace.Andindeed,aprojectinThingsfeelsverymuchlikeablankdocumentratherthanarigidchecklist.Thereisspacefornotesandreferenceinformationthatdoesnotfeellikeasimplefree-formtextfieldthatisasecond-classcitizenintheappsUI.EasyInputThings,aswellasmanyoftheappsinthisspace,doagoodjobofmakingiteasytogetstuffintoit.UsingtheQuickEntrydialog,youcanquicklytypea(customizable)shortcutandenterinanewtask.Mosttaskmanagementappsofferthisfeature,butwhatIlikeaboutThingsis,again,theusability.Theformincludesallthenecessaryfields,whilealsoincludingexcellentsupportforusingjustthekeyboard.Evenbetter,withtheThingsHelper,youcancreatetasksfromacurrentlyselectediteminotherapps.Usingthis,Thingswillincludealinkbacktotheoriginalitem.Usingonemasterinboxforallyourinputsbecomesalotmorefeasiblewiththistypeoffunctionality.OniPhoneandiPad,Thingsisincreasinglysupportedbyotherthird-partyappsthankstoitsbehind-the-scenesURLscheme.OurfavoriteemailappfortheMac(andforiPhoneandiPadaswell)playsnicelywithThings;insideSpark,youcansimplyswipeanemailinyouremaillisttosendtheentireemailmessage(orjustalink)toyourThingsinboxsoyoucanactontheemailasthoughitwereatask.Finally,Things3includes“MailtoThings”,asimpleworkflowthatprovidesyouwithacustomemailaddressforaddingtaskstoyourThingsinboxviaemail.Thisishandyforworkingcross-platform—ifyou’reworkingonaWindowsPC,youcanforwardemailsorothertaskstothiscustomemailaddressandmanageyourtasklistinThings.Ahandytip:YoucancreateashortcutiniOS14andiPadOS14thatcanbetappedtoautomaticallysendanemailtothecustomMailtoThingsemailaddress.Youcanaddtheshortcuttoyourhomescreenasaniconoryoucanadditasawidget,whichworksgreataspartofaSmartStack.TheStructureofYourLifeOneoftheaspectsofThingsthathasalwaysbeenimportantishowitstructuresthetasksthatmakeupyourlife.Atthehighestlevel,itusesGTD’sAreasofResponsibility.Thatallowsyoutostructureyourprojects,tasks,andchecklistsaccordingtothevariousrolesyouplay(projectmanagers,designers,andaccountants,butparents,volunteers,andcoachesaswell).It’spossibletosetupasimilarstructureinothertaskmanagementtools,butI’vealwaysappreciatedthetreatmentgiventoareasinThings.Itevengetsitsownicon!ThisapproachtothefoundationalstructureinThingsmakesiteasytofocusononeareaatatime.Soifyou’reatworkanddon’tcaretoseeyourchoresaroundthehouse,youcanviewaspecificareawithallitscontainedprojectsandmiscellaneoustasks.Furtherdownthestructure,eachprojectisalsogivenanicevisualtreatment.Again,thisconceptofablankdocumentworkswell.Aprojectcanincludenotesatthetopofthe“document,”andthenyoucanincludeitstasks,sub-tasks,andheadings.Thisallowsyoutoincludeanybackgroundinformationorreferencematerialsrequiredatthetopoftheproject(thoughyouwillhavetodroptheactualreferencematerialrightintoThingsorincludeaURL—Things3doesnotsupportactualattachmentssuchasPDFsorimages).Fromthere,youcreatethetasksrequiredtocompletetheproject.Ifyourprojecthasspecificcategoriesoftasksorisbrokenintosegments,Thingsletsyo
