UnliketheGeneralLedgerreportthatcanbepulledfromtheGPReportsmodule,aSmartListwillnotrequireanyadditionalcolumnformattingonceitisexportedtoExcel. Toaccessthislist,navigatetoMicrosoftDynamicsGP>>SmartList. Fromtheleftreportlist,selectFinancial>>AccountTransactions>>*. Fromhere,youcanbegintomodifyyourlistbyincludingandorderingyourcolumns. Todothis,selecttheColumnsiconatthetopofthelistscreen. IntheChangeColumnDisplaywindow,you’llseethecolumnsthatarealreadyprovidedwiththestandardreport.Selectthe"Add"buttontosearchfornewcolumnstoincludeinyourlist,andusethe“Remove”buttontodeleteanyunwantedcolumns. Somesuggestedcolumnsare: Reference–thetransactionheaderdescription Description–Thememo/linereferenceforeachlineinthetransaction OriginatingMasterID/Name–CustomerorVendorID&name PeriodID–Usedtoshowthepostingmonth,canbeusedfilteroutdatafromtheyear-endclosingtransaction(Period0) Asdesiredcolumnsareadded/removed,youcanselectthecolumnnameandusetherightsidearrowstoshiftthecolumnorderofyourlist. Inadditiontomodifyingthecolumnsthatareusedinthelist,youcanalsousetheSearchfeaturetofilterthelistoutputandtosetthedateparametersforthepostedtransactions. Tostart,selectthe“Search”iconatthetopofthelistscreen. Choosethefieldorcolumntowhichyouwouldliketoapplyafilter,andthenselectthefilteredvalue. Commonfiltersinclude: TRXDate–betweendatesorgreaterthandates OriginatingMasterID–setitequaltocustomerorvendorIDtoseerelatedtransactiondata MainAccountSegment–isbetweenarangetoseeallincomestatementorbalancesheetdata Oncethefiltershavebeenset,updatethe“MaximumRecords”boxwithall9’s,sothatalldatathatmeetsthefilterrequirementsisincludedinyourlist.Thedefaultsettingwillonlyreturnthefirst1,000recordsthatmatchyourcriteria. Ifthefieldisnotactuallyacolumnheader(whichiscommonifyouneedtofilteronanaccountsegment),changeyourselectionpoolfrom“SelectedColumns”to“AllColumns.” Finally,ifyouwanttosortthedatabysomethingotherthanthetransactionID,selectthe“OrderBy”buttonatthebottomoftheSearchform.
