TBCheck-whenyoucopyatrialbalancefromanotherExcelworkbookintothistemplate,itisimportanttoensurethattheaccountnumbersonthesourceworksheetarethesameastheaccountnumbersonthetargettrialbalanceworksheet.Wehavethereforeincludedthissheettoenableuserstocheckwhethertheiraccountnumbersequenceisconsistentwiththeappropriatetrialbalancebeforecopyingthetrialbalancedataintothistemplate. Inordertostartusingthetemplate,youbasicallyneedtocompletethefollowingsteps: ChangethedefaultsettingsinthecellswithyellowcellbackgroundsontheSetupsheet. Ifyoudonotwanttouseyourownaccountstructureandyouwouldratheruseourstandardtemplatesetup,youonlyneedtoincludeyourcumulativemonthlybalancesonthethreetrialbalancesheetsandleavetheKeysheetasis.Allthereportingclasseswillautomaticallybelinkedtotheappropriateaccountbalancesandpopulatedontheincomestatement,cashflowstatementandbalancesheet. Ifyouwanttouseyourownaccountstructure,replaceourdefaultdatabycopyingtheaccountnumbers&descriptionsofalltheaccountsonyourtrialbalanceontotheKeysheetandthenlinkeachindividualaccounttotheappropriatereportingclassbycopyingorenteringtheclasscodeintocolumnC.NotethatafulllistofallthemainclassesusedontheincomestatementandbalancesheetareincludedontheGroupssheet. ThenalsocopytheaccountnumberstotheTBPY,TBCYandForecastsheetsandcopytheformulasincolumnsAandCifyouhavemoreaccountsthanthedefaultdatainthetemplate. CopyallyourpriorfinancialyearbalancesontotheTBPYsheetandallyourforecastbalancesforthecurrentfinancialyearontotheForecastsheet.ActualbalancesforthecurrentfinancialyearshouldbecopiedontotheTBCYsheetthroughouttheyear.Alltrialbalanceamountsmustbecumulative. Theincomestatement,cashflowstatementandbalancesheetareautomaticallycalculatedbasedontheamountsincludedonthethreetrialbalancesheets.SimplyselecttheappropriatereportingperiodontheSetupsheetandallcalculationsareupdatedautomatically. Setup TheinputcellsthatcontainyellowcellbackgroundsontheSetupsheetneedtobecompletedinordertoincludeyourbusinessnameasaheadingonalltheappropriatesheetsandtospecifytheappropriatereportingperiodsforwhichthemanagementaccountsneedtobecompiled.Thecellswithlightbluecellbackgroundscontainformulaswhichshouldnotbereplaced! Theappropriateyear-endperiodneedstobeselectedincellB6.Theyear-endmonthselectedinthiscelldetermineswhichmonthsareincludedintheyear-to-datecalculationsandalsodetermineswhichmonthlyperiodsareincludedonthetrialbalancesheets&themonthlyincomestatementontheISMonthsheet. ThefinancialyearforwhichthemanagementaccountsarecompiledneedstobespecifiedincellB8.Theyear-enddatedisplayedincellB10isdeterminedbasedontheyear-endperiodselectedincellB6andthefinancialyearenteredincellB8. ThecurrentreportingperiodneedstobeselectedfromthelistboxincellB12.Themonthsincludedinthelistboxaredeterminedbytheyear-endandfinancialyearselectionsincellsB6andB8.Thecurrentreportingperiodspecifieddetermineswhichmonthlyandyear-to-dateperiodsareincludedintheincomestatement,cashflowstatementandbalancesheetreports.Youcanthereforechangetheperiodforwhichthemanagementaccountsarecompiledbysimplyselectinganewperiodfromthelistboxinthiscell. ThereportingperiodenddateandtheprioryearreportingperiodwhichisdisplayedincellsB14andB16aredeterminedbasedonthecurrentreportingperiodselectedincellB12.Thesecellscontainformulaswhichshouldnotbereplaced! TheselinksarehowevernotestablishedontheGroupssheetbutontheKeysheetwherealltheaccountswhichformpartofthetrialbalancesneedtobeincluded.TheGroupssheetisthereforelargelyforinformationpurposesalthoughtheincomestatementandbalancesheetlineitemdescriptionsarebasedonthereportingclassdescriptionsenteredontheGroupssheet. Theaccountswhichareincludedonthesethreetrialbalancesheetsthereforeallneedtobelinkedtotheappropriatereportingclasses.Itishoweveressentiallythesameaccountsthatneedbeincludedonallthreesheetsandinsteadofrequiringuserstolinkaccountstoreportingclassesonallthreesheets,wehavesetupaseparatesheetforthispurposeandincludedaformulaincolumnAonthethreetrialbalancesheetsinordertolookuptheappropriatereportingclassesfromthissheet. Note:AlltheentriesontheKeysheetmustformpartofacontinuouscellrange-youshouldnotaddanyblankrowsbetweenrowsthatcontaindataotherwisetheformulaincolumnDwillnotflagalltheinvalidclasscodesincludedincolumnC. Note:WestronglyrecommendusingthedefaultreportingclassstructurewhichwehaveprovidedontheGroupssheetbecausethesecodeshavebeenincludedincolumnAontheincomestatement,cashflowstatementandbalancesheetreports.Ifyouusedifferentcodesandyouincludethemincorrectly,thetemplatecalculationswillnotbeaccurate. Youcanuseanytrialbalanceregardlessofwhethertheaccountstructureisconsistentwithourstandardtemplateornot.Ourdefaultaccountnumbershavebeenderivedfromtheaccountstructurewhichisusedinouraccountingtemplatesbutitcanbereplacedwiththeappropriateaccountformatwhichisusedinyourowntrialbalancebysimplyreplacingourdefaultdata.Eachaccountshouldthenbelinkedtooneofourdefaultreportingclasseswhichcreatestheconsistencyrequiredinorderforthereportstobeautomaticallycompiled. Alltheaccountswhichareincludedinthetrialbalanceshouldbelinkedtoavalidreportingclassotherwisethetemplatecalculationsmaynotbeaccurateandthemanagementaccountsmaythereforenotbalance.WehaveaddedaformulaincolumnDontheKeysheetwhichshouldbecopiedforallthenewrowsaddedtotheKeysheetandwillcontainanerrorifanincorrectreportingclasshasbeenlinkedtoanyoftheaccounts. TheformulaintheStatuscolumnwilldisplayanerrorcodeifanaccounthasbeenlinkedtoaninvalidreportingclass.RefertotheErrorCodessectionoftheseinstructionsforguidanceonhowtofixtheseerrors.Itisimportantthatyoufixanyerrorsdisplayedinthiscolumnbecauseitprobablymeansthatthebalancesoftheaffectedaccountwillnotbeupdatedtotheincomestatementorbalancesheet. NewReportingClassCodes Ifyouwanttoaddanewlinetotheincomestatementorbalancesheet,werecommendthatyouexplorechangingoneofthedefaultlinesofanunusedincomestatementorbalancesheetitembeforeconsideringaddinganewreportingclass.Ifthereisanunuseditemthatyoucanchange,itissimplertodosothantoaddanewreportingclassandthereforealsoeasiertodoso.Theunusedlineshouldhoweverbesimilartothelinethatyouwanttoaddotherwiseyouwillneedtoaddanewreportingclassinstead. Whenyouchangeasimilaritem,youcanusethesamereportingclassandonlyeditthedescriptionoftheaccountgroupifthereportingclassisoneofthoselistedontheGroupssheet.Ifthesimilaritem'sreportingclassisnotlistedontheGroupssheet,youcanstillusethesameclasscodeandlinkthiscodetotheappropriateaccount(s)ontheKeysheetbutthelineitemdescriptionwillthenbebasedontheaccountdescriptionincludedforthefirstaccountlinkedtothereportingclassontheKeysheet. Iftherearenosimilaritemsavailable,youwillneedtocreateanewreportingclasscodeandusethiscodewhenaddingalineforthenewitemontheincomestatementorbalancesheet.Theeasiestwayofaddinganewlineistoinsertanewrowattheappropriatelocationandtocopytheformulasinallcolumnsfromoneoftheexistingrowswhichissimilarinnature.Youcanthenjustreplacethereportingclassofthecopiedline(incolumnA)withyournewreportingclass. Thefollowingrulesapplytocreatingnewreportingclasses: Newreportingclassesmustbeuniqueandwestronglyrecommendstayingwithourdefaultreportingclasscodeconvention(forexampleI-99GorB-99G).The"G"attheendisessentialinordertopreventthereportingclasscodesfromclashingwithaccountnumbers.Intheunlikelyeventthatyouraccountnumberscontaina"G"attheendandconsistofthesameaccountstructure,replacethe"G"withforexamplea"C"! Allnewincomestatementcodesshouldstartwith"I-"andallnewbalancesheetcodesshouldstartwith"B-"followedbyauniquetwo-digitnumberfortheaccountgroupwhichisfollowedbythe"G". Ifyouwanttodisplayindividualaccountsinsteadofaccountgroups,werecommendswitchingfromthedefault5characterreportingclassestoa7characterreportingclasswhichincludesanadditionaltwodigitsbeforethe"G".Theseadditionaltwodigitscanthenbeusedtoincludelinenumbersandthereforeprovideforanadditional100lineswithineachreportingclass(forexamplethedefaultaccountgroupclassofI-03GforoperatingexpenseswaschangedtoI-0301GtoI-0318Ginordertoprovidefor19additionalindividualaccountsontheincomestatement). IfcolumnDontheKeysheetcontainsanerrorcode,itneedstobefixedimmediatelybecauseitmayleadtotemplateimbalances.RefertotheErrorCodessectionoftheseinstructionsforguidanceonhowtofixtheseandothererrors. Note:AfteraddinganewreportingclassandlinkingittoanaccountontheKeysheet,youmayseeanerrorintheStatuscolumnindicatingthatthereportingclasscannotbefoundontheincomestatementorbalancesheet.Thisisnormalandthiserrorwillautomaticallydisappearassoonasyouaddthenewreportingclasstotheappropriatelocationontheincomestatementorbalancesheet. Note:IfthereportingclassisthesameastheoneslistedontheGroupssheet,theincomestatementorbalancesheetlineitemdescriptionwillbepickedupfromtheGroupssheet.IfthereisnomatchontheGroupssheet,thelineitemdescriptionwillbepickedupfromtheaccountdescriptionontheKeysheetofthefirstlinewhichmatchesthereportingclasscode. PriorYearTrialBalance AcompletetrialbalanceforthepriorfinancialperiodshouldbecopiedorenteredontotheTBPYsheet.Theaccountbalanceswhichareincludedonthissheetareusedtoupdatethe"PriorYear"columnsontheincomestatement,cashflowstatementandbalancesheetreports. Note:AlltheaccountswhichareincludedinyourtrialbalanceshouldbeenteredinacontinuouscellrangeontheTBPYsheet-thereshouldnotbeanyblankrowsbetweenrowsthatcontaindataotherwisealltheaccountsmaynotbeincludedinthemanagementaccountscalculationsandyourbalancesheetmaythereforenotbalance! ThereportingclassincolumnAandtheaccountdescriptionincolumnCareautomaticallylookedupbasedontheentriesontheKeysheet.TheformulaswhichhavebeenincludedinthesecolumnsthereforeneedtobecopiedforalltherowsontheTBPYsheetwhichcontainaccountnumbersincolumnB. Note:IfanaccountnumberisincludedinthetrialbalancebuttheaccountnumberhasnotbeenlinkedtoavalidreportingclassontheKeysheet,theappropriatecellincolumnAwillcontaina"Nokey!"messageandthecolumnheadingincolumnAwillbehighlightedinred.Ifanyofthethreetrialbalancesheetscontainaccountswhicharenotlinkedtovalidreportingclasses,yourmanagementaccountsmaynotbalance.Ifthe"Nokey!"messageisthereforeencountered,youshouldaddtheappropriateaccountnumbertotheKeysheetandlinktheaccountnumbertoavalidreportingclass.Oncethisstephasbeencompleted,theredhighlightinginthecolumnheadingcellwillberemovedautomatically.
