Whatthischartdoesisoutlinethestepsofwhattodowiththe‘stuff’thatcomesintoyourlife,simplyandmosthandyofall,visually.Essentiallyit’scommonsense,butsometimesthesimplestthingsarethehardesttoputintopractice. Nowthatthisislaidoutvisually,Icanorganizemyworkspacetosuit.Iknowthatifsomethingisn’tactionablethenitcanendupinoneofthreeplaces;whynothaveanareasetupfortheTrash,theTicklerFileandmyReferences? AsIrundownthechartIseethatforeachtypeofitemthatneedstobeactioned,Icandesignateanarea,whetherthat’saphysicalspacearoundmydeskorinmymind,itdoesn’tmatter. Thisisthekindofthingthatwithpracticeitissecondnature.Butuntilthen,itdoesn’thurttohaveaguideline. Advertising ManagingyourpasswordsIknowsomepeoplethatkeeptheirpasswordsinanunencryptedtextfile.That’snotagoodidea.Isupposethatifyouaren’tdoingmuchonlineandaredecentatavoidingvirusesandsuch,itcouldbeOK,butIwouldneverrecommendit.So,wheredoyoukeepyourstrongpasswordsforalltheservicesthatyouvisitonadailybasis?ThereareatonofpasswordsafesoutthereincludingKeePass,RoboForm,Passpack,PasswordSafe,LastPass,and1Password.IfandwhenIrecommendanyoftheseIalwayscountonLastPassand1Password.BothLastPassand1Passwordofferdifferententrytypesforonlineserviceslogins(PayPal,Twitter,Facebook,Gmail,etc.),creditcardsandbankaccounts,onlineidentities,andothertypesofsensitiveinformation.Bothhaveexcellentreviewsandonlydifferinafewsubtleways.OneofthewaysthatismorenotableisthatLastPasskeepsyourencryptedpasswordVaultonlinewhere1PasswordallowsyoutokeepitlocallyorsharedthroughDropbox.Eitherway,youaretheholderoftheencryptionkeysandbothwaysareverysecure. Advertising LastPassand1Passwordbothoffercross-platformsupportaswellassupportforAndroidandiOS(LastPassevenhasBlackBerrysupport).1Passwordisalittlepricey($39.99foreitherWindowsorMac)whereLastPasshasfreeoptionsaswellaspremiumupgradesthatallowformobilesyncing.UpkeepYoushouldprobablychangeyourpasswordsforyour“important”accountsatleastevery6weeks.WhenIsay“important”accountsIamreferringtoonesthatyoujustcouldn’timaginelosingaccessto.FormethatwouldbeGmail,PayPal,eBay,Amazon,allmyFTPaccountsandhostingaccounts,Namecheap,etc.Basicallytheseincludeanyaccountwherefinancialinformationcouldbelostoraccessedaswellasaccountsthatcouldbetotallyscrewedup(likemywebserver).Thereisnohardandfastruletohowoftenyoushouldchangeyourpasswords,but6to8weeksshouldbeprettygood.AlternativesYoumaythinkthatallofthisisjusttoomuchtomanageonadailybasis.Iwilladmititiskindofannoyingtohavetochangeyourpasswordsanduseapasswordmanageronadailybasis.Forthosepeopleouttherethatdon’twanttogothroughallofthehub-bubofsuper-secure,encrypted,passwordmanagement,hereareafewtipstokeepyousafe: Advertising Createauniqueandhardtoguess“basepassword”andthenapatterntouseforeachsiteyoulogononto.Forinstanceabasepasswordcouldbe“Ih2BaSwAa”(thisstandsfor“Ihavetwobrothersandsisterswhoareannoying”).Thenyouwouldaddsomething“sitespecific”totheendofit.ForTwitterIh2BaSwAaTWTTR,FacebookIh2BaSwAaFCBK,etc.Thisissortofunsecure,butprobablymoresecurethan99%ofthepasswordsoutthere. Don’twriteyourpasswordsdowninpublicplaces.Ifyouwanttokeeptrackofpasswordsonsomethingwritten,keepitonyouatleast.Theproblemisthatifyougetyourwalletstolenyouarestilloutofluck. Don’tusethesamepasswordsforeveryservice.I’mnotevengoingtoexplainthis;justdon’tdoit. Thesearejustafewthingsthatcanbedoneratherthankeepingyourpasswordsinamanagementsystem.Personally,withover100entriesinmypasswordmanagementsystem,Icouldn’tevendreamofdoinganyotherway.Butthoseouttherewithonlyafewpasswords,havingasimplersystemmaybebeneficial.So,ifyouwanttobea“responsibleinternetcitizen”oryoujustdon’twanttoloseyourpreciousaccountdata,thencreatingandmaintainingstrongpasswordsforyouronlineaccountsisamust.
