UnliketheGeneralLedgerreportthatcanbeextractedviatheReportsmoduleinDynamicsGP,aSmartListdoesnotrequireanyadditionalcolumnformattingafterithasbeenexportedtoExcel. Inordertoaccessthislist,gointoyourDynamicsGPsolutionthenclickon‘SmartList’. Oncehere,youwillthengotothereportlistontheleftandselect‘Financial’followedby‘AccountTransactions’then‘*’. Onceyouareatthispoint,youcanstarttoedityourlistbychangingandorderingyourcolumns. Inordertodothis,youwillneedtoclickonthe‘Columns’iconwhichappearsinthetopribbon. WithintheChangeColumnDisplaywindow,youwillfindthatcertaincolumnshavealreadybeenincludedwiththestandardreport.Fromhere,clickonthe‘Add’buttontolookfornewcolumnsthatyouwanttoincludeinyourlistandusethe‘Remove’buttontodeleteanythatyoudon’tneedatall. Youwillfindthatonceyoustartaddingandremovingcolumns,youwillbeabletoselectthecolumnnameandthenusethearrowsontherighttochangetheorderofthecolumnsinthelist. YoucanalsochangetheReport‘DisplayName’ifrequired. Aswellasbeingabletochangethecolumnsthatareusedinthelist,youwillalsobeabletousetheSearchfeaturetofilterthelistoutputforexamplesettingsetthedateparametersforthepostedtransactions. Tobeginyoursearch,clickonthe‘Search’iconinthetopribbon. Oncethesearchwindowopens,pickthefield/columntowhichyouwanttoapplyafilterandthenpickthefilteredvalue. Sometypicalfiltersinclude: TRXDate–betweendatesorgreaterthandates. OriginatingMasterID–setthistoequalaCustomerorCreditorIDtoseerelatedtransactiondata. MainAccountSegment–isbetweenarangetoseeallincomestatementorbalancesheetdata. Ifyouwanttofilterthereportbasedonacolumnheaderwhichisnotselectedtoprintonthereport,youcandothisbyclickingontheSelectedColumnsfieldandchangingyourselectionpoolfrom‘SelectedColumns’to‘AllColumns’. Afteryouhavesetupyourfilters,youwillthenneedtotheupdatethe‘MaximumRecords’boxwithall9’s,sothatalldatathatmatchesyourfilterswillbeaddedtoyourlist.Ifyouleavethisblank,thedefaultsettingwillbeusedthatwillonlyreturnthefirst1,000recordsthatmatchyourcriteria. Lastly,ifyouwouldliketosortthedatainanotherway,otherthanthedefault,transactionID,simplyclickonthe‘OrderBy’optionatthebottomoftheSearchform. Next,pickthefield(s)thatyouwanttoorderthelistbyandselectinwhichwayyouwishthosevaluestobesorted.Afterthis,simplyhit‘OK’. Next,simplyhit‘OK’onyourfilteredSearchformandyoushouldseeyourlistpopulatewiththetransactiondatathatmatchesyourspecifiedcriteria.ThisreportcanthenbeexportedouttoExcel. AfteryouhavecreatedaSmartListreportthatgivesyouthedatathatyouwant,makesurethatyousaveitbychoosingthe‘Favourites’option.Enteranappropriatenameforyourreportandthenpickwhowillbeabletoseeit. Youcanspecifytosavethereportto‘System’sothatthereportcanbeseenwithinSmartListsinallyourGPcompanies,‘Company’forjustthecompanyyouarecurrentlyworkingin,‘UserClass’,soonlyusersinyourGPUserClasscanseethereportor‘UserID’.Ifyouselect‘UserID’,thenonlyyouwillseethereportanditwillbeaddedtoyour‘MyReports’sectionofyourGPhomepage.IfyouareusingGP2018onwards,youcanpasswordprotectyourreport,topreventothersmakingchangestoit. Afterthissimplyclick‘Add’andchooseeither‘Favourites’toaddthereporttoSmartListsor‘FavouritesandReminder’toaddthereporttoyourhomepageremindersaswell. Inthisexample,whenyounextlogintoyourGPsolutiontoaccessSmartList,youwillfindthatyourcustomGLreportwillbelistedunderthe‘AccountTransaction’sectionandonyourhomepage.
